4. Project Images & Uploaded Media

When you upload property, venue, storefront or other project media, it is stored securely and used for the purpose for which it was provided, such as a visual concept, survey, quotation or project delivery. Access is restricted to authorised FrontGlow personnel, contracted service providers and approved project specialists (such as installers, technical surveyors, creative providers or equipment suppliers) to the extent reasonably necessary for the relevant enquiry or project. Relevant photos, videos, measurements and project documents may be made available through restricted project access or shared securely with an authorised provider. We do not make project media publicly available as part of ordinary fulfilment. We will not publish or use customer-provided project media in testimonials, case studies or promotional materials without the appropriate permission.

5. Cookies & Analytics

Our website may use cookies and similar technologies to enhance your experience and collect analytics data. This may include:

  • Essential cookies — required for the website to function
  • Analytics cookies — Google Analytics for usage statistics (anonymised where possible)
  • Marketing pixels — Meta Pixel for advertising optimisation

You may disable non-essential cookies in your browser settings. By continuing to use our site, you consent to essential cookies.

6. Legal Basis for Processing

We process your personal data under the following lawful bases:

  • Legitimate interests — for enquiry follow-up and lead management
  • Contract performance — when processing information needed to provide an agreed service or project
  • Consent — for marketing communications and optional cookies
  • Legal obligation — where required by law

7. Data Retention

We retain personal data only as long as necessary:

  • Enquiry data: up to 2 years from last contact
  • Enquiry and concept media: retained only for the period needed for the enquiry, applicable legal obligations and our documented retention rules
  • Relevant financial and transaction records: retained for the period applicable to statutory accounting and tax obligations; not all customer records require the same retention period

8. Sharing Information With Suppliers, Partners & Service Providers

FrontGlow operates a managed project-delivery model. Depending on your enquiry, booking, account or project, we may share relevant personal information, project documents and media with approved third parties when reasonably necessary for a lawful business purpose.

Recipients may include:

  • Approved installation companies, field contractors, technical engineers, surveyors and other delivery specialists — relevant site details, appointment information, access requirements, plans, images and work instructions
  • Equipment-hire suppliers, manufacturers, distributors, logistics companies and delivery or collection providers — relevant equipment specifications, venue/site information, dates, contact details, delivery requirements and approved technical documents
  • Creative, visualisation and project-production partners — limited project briefs, drawings, photographs or footage needed for an authorised service
  • Approved White Label or reseller fulfilment partners — only the project and account information needed for an authorised service and their approved access level
  • Hosting, storage, CRM, communication, AI/software, analytics, security and customer-support service providers — data required to operate the relevant feature, subject to applicable contracts and controls
  • Payment processors, banking and professional advisers (including accountants, insurers and legal advisers) — relevant transaction or business records
  • Regulators, public authorities, courts or emergency services — when sharing is lawfully required or justified

We share data for purposes such as assessing requirements, obtaining supplier quotations, arranging surveys, verifying partners, delivering and supporting projects, making payments, maintaining records and meeting legal obligations. We assess the appropriate lawful basis for each processing activity; it is not always consent. Sharing for unrelated marketing or publication of customer project media is treated separately and requires an appropriate lawful basis and permissions.

We aim to disclose only information necessary for each recipient's authorised task. Providers must have suitable confidentiality, security and access controls. Where a provider processes personal data on our instructions, we require appropriate data-processing arrangements. Independent organisations that determine their own purposes may have their own privacy obligations. Internal supplier prices, unrelated customer records, identity-document scans and other restricted data are not part of routine field-work instructions.

If you provide another person’s contact details, site information, photographs or documents (for example, a venue manager, property occupant or authorised business representative), please ensure you are entitled to provide them and that the individual has been given appropriate privacy information. We use third-party-supplied information only for relevant, lawful purposes.

We do not sell customer contact details to third parties for their independent direct marketing. Access to an assigned project does not authorise a partner to reuse information for their own unrelated purposes or to disclose it onward without lawful authority.

8A. Technology Providers & International Processing

Our technology arrangements may involve third-party services for application hosting, secure storage, payments, messages, visualisation, analytics, fraud prevention and support. These can include platforms such as Base44 and payment or communication providers where enabled. The actual providers used depend on the services and features involved, and a provider named as an example is not necessarily used for every enquiry.

Where personal data is accessed or processed outside the United Kingdom, we assess whether an international transfer is involved and apply an appropriate legal transfer mechanism and safeguards where required. We also consider provider security, contracts, sub-processors and retention arrangements. Contact us using the details above if you need further information about recipients or an applicable international transfer.

9. Your Rights

Under UK GDPR, you have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data ("right to be forgotten")
  • Withdraw consent at any time
  • Object to processing for legitimate interests
  • Request data portability
  • Lodge a complaint with the ICO (ico.org.uk)

To exercise any of these rights, email us at enquiries@frontglowmedia.co.uk.

10. Data Security

We implement appropriate technical and organisational measures to protect your personal data from unauthorised access, alteration, disclosure, or destruction. All data transmissions are encrypted via HTTPS.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above and provide additional notice for material changes where appropriate. We will not treat continued browsing as consent to processing that requires a separate choice.
